Running a small business or charity can be brilliant - until it isn’t. You’re busy, the team’s busy, but somehow things still get stuck. Work piles up, deadlines slip and you feel like you’re wading through treacle.
That’s a bottleneck. It’s the point where everything slows down and it’s usually hiding in plain sight. Everyone’s got used to it just being that way. The extra step, the delay, the workaround - it’s become part of the routine.
The good news? Bottlenecks can be fixed. Here’s how to spot them, sort them and get things flowing again.
Why Fixing Bottlenecks Matters
Ignoring bottlenecks costs more than time. It drains energy, morale and money. It blocks growth and frustrates everyone - including your customers.
Fixing them does the opposite. It helps you:
Save time and get things done more quickly.
Cut errors and rework.
Keep your team calmer and happier.
Give customers a smoother experience.
Give your business a solid foundation to scale with less chaos.
If you want to focus on what really matters, clear the blockers first. That’s why bottleneck fixes are so important. They preserve your energy to let you scale your business calmly and confidently.
Real Fix: When the Bottleneck Is You
One business I worked with had a big marketing push that brought in loads of new leads - a great problem to have, right? Except behind the scenes, things started to get messy.
She wanted to see every response and proposal before it went out, so it all landed back on her desk. The team were keen but hesitant. They didn’t want to overstep, so they waited. And while they waited, the work piled up.
The bottleneck?
Her.
The fix was simple but powerful. We introduced a templated proposal system. Each quote could still be customised for what was included, but the wording and pricing for each part of their service were standardised.

She still got involved in the fully bespoke requests but everything else went straight out from the team. No bottleneck. No reworks. No waiting.
Within three weeks, response times halved. Nothing was missed off the quotes, everything looked consistent, and my client was happy to finally release control to the team for the standard stuff.
Even better, the conversion rate to sales went up because clients were getting their proposals while they were still warm and ready to buy.
Step 1: Spot Where Things Get Stuck

First, you need to know what to look for. Bottlenecks don’t always shout. Sometimes, they whisper in the form of delays, confusion or the same issue cropping up over and over.
A few classic signs:
Tasks pile up in one area while others wait.
Deadlines slip regularly.
Employees feel frazzled or frustrated.
Customers constantly chase with questions and updates.
You’re double-handling or redoing work.
Grab a pen (or a whiteboard). Map out how work actually flows through your business. Where does it jam up? Who’s waiting for what? Where are the stop-starts?
And talk to your team. They usually know exactly where things go wrong - they just haven’t had time to tell you or don't want to bother you.
Step 2: Fix the Blocks in Impact Order

One of the biggest reasons bottlenecks build up is that all the small things add up and it’s overwhelming to know where to start.
Resist the urge to just “push through” everything. The answer’s nearly always to simplify or systematise - not pile on more.
Prioritise what really moves things forward
Automate repetitive stuff like invoicing or reminders
Clarify who owns what - confusion creates chaos
Add resource where the load’s genuinely too heavy
Tidy up comms - too many messages = too many responses to chase
Remember, fixing bottlenecks isn’t about working harder. It’s about working smarter.
Step 3: Keep Bottlenecks from Creeping Back
As your business changes, the bottlenecks change too.
Keep it simple: review, record, repeat.
Set a monthly reminder to do a quick flow check.
Use a shared tracker so the team can log bottlenecks as they spot them.
Each month, pick the highest-impact fix and clear it.
Taking the Next Step: Keep Simplifying
Fixing one bottleneck is great. But what about the next one? Business is always changing. New challenges pop up.
Here’s how to stay ahead:
Make bottleneck checks part of your routine (weekly or monthly reviews work well).
Encourage your team to flag issues early.
Tweak or upgrade tools as you grow.
Measure the results when bottlenecks get fixed.
By staying proactive, you keep your business nimble. You keep your operations smooth. You keep your focus on growth and impact.
Bottlenecks don’t have to hold you back. You can spot them. You can fix them. You can move forward with confidence. Start today - your business will thank you.
